Reimbursement Guidelines
Travel claims have to be received by the admin centre by December 31, 2004. You must submit original receipts with your travel claims.
Each research project will have the following expenses reimbursed by AquaNet’s central budget:
Network Investigators (Faculty)
- Round-trip economy (discount) airfare booked at least 30 days in advance, or where appropriate, use of train, rental car or private car (based on expense claim guidelines as posted on AquaNet’s Website - Internal communications section)
- Necessary associated travel costs (shuttle bus, taxi from airport, parking)
- 1 hotel room for three nights starting Tuesday, October 19, check-out Friday, October 22.
- Registration fees
- Per diem meal allowances where meals are not otherwise provided. Please note that only the per diem meal allowance can be claimed for the banquet on your travel claim.
Graduate students and Post-doctoral fellows
This year, AquaNet has collaborated with the Aquaculture Association of Canada to enable the graduate students/PDFs sponsored by AquaNet (one from each 2003-04 project) to attend the AAC conference immediately preceding the AquaNet scientific conference, starting Sunday, October 17. Please see below for details. As a result, the AquaNet central budget will cover an additional 2 nights hotel accommodation for its sponsored students/PDFs attending the AAC conference.
- Round-trip economy (discount) airfare booked at least 30 days in advance, or where appropriate, train, rental car or private car (based on expense claim guidelines posted on AquaNet’s Website - Internal communications section)
- Necessary associated travel costs (shuttle bus, taxi from airport, parking)
- 1 hotel room with 2 double beds from Sunday, October 17 through Friday, October 22 (5 nights). Each graduate student/PDF is expected to share a room with a fellow graduate student/PDF from his/her own or another project. AquaNet administrative staff will help to arrange room sharing.
- AquaNet scientific conference registration fees and coverage of banquet dinner ticket To register for the AAC Conference and obtain AAC registration sponsorship, graduate students/PDFs have to register and apply for sponsorship directly with the AAC (www.aquacultureassociation.ca)

All researchers located within reasonable (less than four hours) driving distance are required to use surface transportation in order to be reimbursed by the central budget. Car pooling is encouraged.
